General Information

ISoRED leadership is accepting applications to host the ISoRED 2027 meeting. Please submit your proposals to Matthew Mille (mmille1@gmail.com) and Evgeniya Ostroumova (ostroumovae@iarc.who.int) by January 30, 2026.  Applications will be reviewed by the ISoRED leadership (current working group chairs) according to key factors including affordability, location and experience. A decision will be made early next year to ensure sufficient planning time.

Application Instructions

If you are considering submitting an application, please reach out early to Matthew Mille (mmille1@gmail.com) and Evgeniya Ostroumova (ostroumovae@iarc.who.int). We would be happy to discuss your ideas and provide guidance as you prepare your proposal. Proposals should be brief—generally no more than 2–3 pages.


Information to Include in Your Proposal to Host the Next ISoRED Meeting

1. Local Conference Chair(s)

  • Name(s) and affiliation(s) of the proposed local conference chair(s).

  • Summary of previous experience organizing scientific conferences.
     

2. Institutional Support

  • Description of support already committed or anticipated from the host institution.
     

3. Proposed Location and Venue

  • City and conference site, including available facilities.

  • Proposed hotel(s) with estimated nightly room rates and distance to the venue.

  • Availability of streaming or hybrid-meeting capabilities.
     

4. Local Organizing Committee

  • Composition of the organizing committee, including representation from early-career scientists.
     

5. Proposed Dates

  • Preferred dates in spring 2027, plus at least one alternative.

  • Note any known conflicts with other major radiation or epidemiology meetings.
     

6. Conference Logistics Structure

  • Description of the organizational structure and staff responsible for conference logistics.

  • Indicate if professional conference organizer, university conference service, or internal staff will be used.
     

7. Preliminary Program Ideas

  • Initial thoughts on the overall conference theme (if any) and possible session topics, recognizing that the final scientific program will be shaped primarily by submitted abstracts.
     

8. Engagement of Early Career Scientists

  • Initial ideas on how the Early Career Working Group will be engaged in conference planning and activities.
     

9. Provisional Budget
Include a preliminary budget with the following components:

 

Income

  • Proposed registration fees and estimated number of participants (early/late rates, student, exhibitors, etc)

  • Expected sponsorship from local, national, or international sources.

Note: Industry sponsorship must be discussed with and approved by the ISoRED leadership before any agreement is made. Sponsors may not influence the scientific program.
 

Expenditures

  • Conference venue, facilities, and equipment.

  • Catering (coffee breaks, meals, conference dinner, if included in registration).

  • Travel grants for participants with financial need.

  • Free registration for the 2025 award winners.

  • Credit card processing and bank fees.

  • Personnel costs for conference preparation and on-site management (institutional staff or external conference organizer).

  • Insurance fees, if applicable.
     

10. Organizational Timeline

  • A proposed timeline showing major milestones and deadlines leading up to the conference.
     

11. Visa Requirements

  • A list of countries for which visitors require a visa or visa waiver to enter the host country.
